Serves as the day-to-day first point of contact for the Board of Pharmacy in person and telephonically; performs high level clerical / secretarial support for board licensure duties, requiring independent judgement, analysis and problem-solving skills; tasks such as establishing, maintaining, and managing on-line filing systems, maintaining databases, gathering and providing information, support office operations, and providing overall support to a team environment. Works 24 hours per week, schedule to be determined but will require 4-5 day work week, with some flexibility, as needed.

Licenses and Certifications:
High School Diploma or Equivalent; further education preferred but not required

The Ideal Candidate Will Have:
Excellent communication / phone / customer service skills; high level ability to prioritize tasks, time management skills; high level organizational skills and attention to detail, ability to maintain strict confidentiality, be punctual and have professional demeanor and appearance. Experience as a secretary, receptionist, license specialist or administrative assistant is beneficial. Ability to work as a team member in a team environment.

Knowledge of:
Knowledge of General office procedures, business letter writing including grammar, spelling, and punctuation. General knowledge of department rules, law and rules, procedures and functions. Skills to use several Microsoft computer program applications and database management; basic bookkeeping and accounting, filing, scanning, faxing, and responding to emails in a timely fashion. Ability to Coordinate with staff to prioritize duties and work independently to complete licensure tasks at high level.

Ability to:

  • type accurately in positions requiring keyboarding;
  • set up and type copy in a variety of formats such as narratives, manuscripts, business correspondence, statistical tables, etc.;
  • proofread and edit rough copy for grammar, spelling, syntax, and style;
  • calculate solutions to arithmetic problems involving addition, subtraction, multiplication, division, and percentages;
  • communicate in a concise and effective manner;
  • compose a general business letter;
  • read and comprehend written materials;
  • accurately record, file, and transmit information;
  • accomplish assigned professional tasks;
  • organize and coordinate activities;
  • research and compile data;
  • exercise tact, patience, and discretion in communicating and dealing with persons of varying backgrounds and temperament.
