Job Status: Part-time, 25 hours/week
Reports To: Managing Director of Children, Youth & Families
Position Supervises: Out-of-School Time Operations Manager
Work Schedule: Monday-Friday, approximately 1:00 – 6:00 PM
POSITION SUMMARY
The Assistant Site Coordinator plays a key role in maintaining a safe, clean, and inviting environment within the out-of-school time program. By supervising and supporting elementary students, the Assistant Site Coordinator ensures their safety, well-being, and positive development. This role involves assisting the Site Coordinator with the implementation of daily and weekly schedules, leading activities, and engaging with students through various lessons and play. In addition, the Assistant Site Coordinator supports students with behavior management, communicates with parents daily, and handles record-keeping tasks, including student information, attendance, and snack records.
The Assistant Site Coordinator attends meetings and trainings, upholds confidentiality, and fosters an inclusive environment by recognizing and valuing diversity within the workplace. As a positive role model, the Assistant Site Coordinator actively participates as a team member, contributing to an enriching and supportive atmosphere that aligns with the organization’s commitment to serving the community with compassion and empowerment.

ESSENTIAL FUNCTIONS
Programming
Maintain a safe, clean and inviting out-of-school time environment in compliance with all licensing standards
Ensure active supervision of students, defined as being close enough to see, hear and intervene with students
Actively engage with students through games, play, conversation, etc.
Plan and facilitate a minimum of four lessons per month
Help students with personal hygiene, which may include diaper changes, toileting assistance, handwashing, etc.
Support students and implement consequences as identified in the organization’s policies and procedures and any written behavior plans
Communicate with parents daily, including both positives and challenges
Educate parents on check-in and out process, enrollment process, etc.
Ensure safe transportation home for students, which may include completing van driver training and filling in to provide transportation via agency vehicle in the case of staff absence
Monitor staff levels to maintain appropriate staff to child ratios and immediately report any staffing issues to Out-of-School Time Operations Manager
Record-Keeping
Assist Site Coordinator in maintaining site binders with necessary student information
Assist Site Coordinator in accurately recording student attendance
Assist Site Coordinator in accurately maintaining snack records and other required reporting
General
Attend scheduled meetings and required trainings
Complete all trainings required by licensing and organization within identified timeframe
Report any safety, maintenance or equipment concerns as soon as possible
Maintain high level of confidentiality with sensitive information
Report any instances (or suspected instances) of child abuse and neglect to proper authorities
Responsible for other duties as assigned.
POSITIONS QUALIFICATIONS SKILLS & ABILITIES
Education: Two years of college coursework in the field of education, or a valid Child Development Associate (CDA) credential, or a similar credential with emphasis in the care of school age children
Experience: Two year of verifiable experience caring for and supervising four or more school-aged children, or equivalent education and experience combined
Skills: Ability to establish and maintain working relationships with school administrators, personnel, students, parents and the public required. Excellent communication skills, both verbal and written required. Ability to make decisions quickly and independently and have appropriate discretion to know when guidance is needed required.
PHYSICAL DEMANDS
- Ability to Stand, Walk, sit, manually manipulate, reach outward and above shoulders, speak, climb, crawl, squat, kneel, and bend on a daily basis
- Capability to Lift, carry, push or pull up to 50 lbs on a daily basis
