Job Description
The Executive Assistant provides executive-level support to the President & CEO as well as the Vice Presidents upon request. The Executive Assistant also serves as a liaison to the Boards of Directors and various Board Committees, and fulfills the duties of the Recording Secretary for the Missouri River Energy Services (MRES) and Western Minnesota Municipal Power Agency (WMMPA) Boards of Directors (Board), and supervise all administrative functions for MRES by performing the following duties:
- Completes a broad variety of administrative tasks for the President & CEO, including taking minutes at Board meetings, managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas.
- Works closely and effectively with the President & CEO to keep him/her well informed of upcoming commitments and responsibilities.
- Event management for conferences, workshops, and Board meetings.
- Primary point of contact for 14-member MRES Board of Directors, 7-member WMMPA Board of Directors, Board Committees, and other various committees.
- Responsible for taking minutes at all Board of Directors and Finance Committee meetings. Finalizes minutes, items discussed, and decisions made; responsible for all onsite logistics. Prepares, coordinates, and distributes agenda materials and minutes for meetings of the Board of Directors and Finance & Audit committee according to South Dakota state open meeting laws and MRES and WMMPA bylaws.
- Manages the full nomination process for Boards of Directors including tracking term limits, handling logistics for calls for nominations and election at the Annual Business meeting.
- Supervise and manage the overall day-to-day administrative operations of the organization.
- Develop and implement administrative standard operating procedures; ensure compliance with MRES policies and regulations.

- Plan, organize, support, and coordinate daily office activities and administrative processes.
- Oversee the administrative assistant team in their efforts to coordinate special events; reserve spaces, develop itineraries, prepare materials, coordinate work between teams, and serve as a point of contact with internal and external customers.
- Coordinate work schedules and companywide assignments to the administrative team; monitor and manage administrative projects and initiatives.
- Collaborate with administrative assistants, all departments, and departmental Vice Presidents to coordinate varies events, activities, and programs to ensure objectives are met and assignments are delegated to ensure smooth workflow and communication.
- Develop and implement office management strategies to increase efficiency across the organization.
- Train and onboard administrative employees and serve as backup when needed.
- Represents MRES on industry, development, and project committees, task forces, and conferences as assigned.
- Creates and maintains permanent documentation of projects, data, and software related to this position.
- Keeps abreast of relevant professional, industry, and inter-utility developments.

Supervisory Reponsibilities
Manages three employees in the administrative division. Is responsible for the overall direction, coordination, and evaluation of this division. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Education and/or Experience
Associate's degree or equivalent from two-year college or technical school in Business Administration or related field and ten years related; or equivalent combination of education and experience.
This individual has the ability to exercise good judgment in a variety of situations, with strong written and verbal communication; exceptional administrative, organizational, and people skills; and the ability to balance multiple priorities. The Executive Assistant must be able to work independently on projects from conception to completion, and to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Reasoning Ability
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Computer Skills
To perform this job successfully, an individual should have knowledge of Database software, Word Processing software, and Spreadsheet software. Must be proficient in presentations, various technology, and written and verbal business communication.
