Good Stewards Consulting is assisting a client in finding an Executive Personal Assistant. The client is the CEO of a statewide retail business, and he serves on multiple state and national industry boards.
We are looking for a highly skilled and organized Executive Personal Assistant to support a dynamic and accomplished business leader. This individual must thrive in a fast-paced, ever-changing environment and be prepared to adapt to a demanding schedule. As an Executive Assistant, you will play a key role in ensuring smooth day-to-day operations by managing schedules, coordinating meetings, handling correspondence, and assisting with various projects. The role requires a proactive problem-solver with excellent interpersonal skills, impeccable discretion, and the ability to seamlessly blend into both professional and social settings.
This position is ideal for someone who is resourceful, detail-oriented, and thrives on challenges while maintaining a calm and professional demeanor. Frequent travel and flexibility for non-traditional work hours are key components of the role.
Job Requirements
KEY RESPONSIBILITIES
• Provide comprehensive administrative support to an executive, including handling correspondence, preparing reports, and creating presentations, often of a confidential or complex nature.
• Manage the executive’s professional and personal scheduling, including extensive calendar management, organizing meetings, and logistics for company and private events.
• Maintain records of the executive’s business and personal ventures.
• Arrange for meeting rooms or facilities and ensure all necessary arrangements are in place.
• Prepare and submit expense reports on behalf of the executive, as appropriate.
• Participate in and contribute to special projects as directed by the executive.
• Build and maintain professional relationships with key contacts, including clients, partners, employees, and other stakeholders.
• Act as a liaison between the executive and various teams, ensuring clear communication and follow-up while managing expectations.
• Maintain confidentiality of sensitive information.
• Handle complex issues and problems independently.
• Assist with errands and personal tasks for the executive as needed.
• Ensure the executive’s day runs smoothly by providing logistical and practical support.
TRAVEL MANAGEMENT
• Organize and coordinate travel arrangements, including flights, accommodations, itineraries, and logistics.
• Accompany the executive on business trips as needed, providing on-the-ground coordination and support.
• Adapt quickly to changing travel schedules and manage unforeseen challenges effectively.
QUALIFICATIONS AND SKILLS
• Degree in Business Administration, Communications, Marketing or related field preferred, or comparable life experience.
• Flexibility and Adaptability: Willingness to work non-traditional hours, including evenings, weekends, and holidays. Willingness to wear multiple hats and pivot between responsibilities based on the executive’s priorities.
• Travel: Ability to travel frequently, sometimes on short notice.
• Communication: Excellent verbal and written communication skills.
• Organization: Strong organizational skills with the ability to prioritize and multitask effectively. Ability to anticipate needs and take initiatives before tasks are assigned.
• Problem-Solving Skills: Ability to identify creative solutions to unexpected challenges. Staying calm under pressure, especially when handling last-minute changes or high-stakes situations.
• Discretion: Maintain a high level of confidentiality and professionalism.
• Tech Fluency: Proficient in Microsoft Office, Google Suite, and travel management tools. Familiarity with productivity tools and project management software.
• Interpersonal Skills: Comfortable engaging with diverse individuals in both professional and social settings.
• Cultural Awareness: Comfortable interacting with individuals from diverse backgrounds and understanding cultural nuances, especially in social and business settings. Willingness to attend training to broaden awareness of diverse cultures.

SALARY AND BENEFITS
• The salary range is $75,000 to $100,000, depending on experience.
