POSITION SUMMARY
The Grant Data Entry Assistant ensures the accuracy and integrity of program data that supports essential services for individuals and families in vulnerable situations. With a steady, detail-oriented approach, this position contributes to programs serving women in residential treatment and youth receiving outpatient counseling, helping ensure the information behind each service interaction is complete, timely, and reliable. The Grant Data Entry Assistant maintains a high standard of organization, communicates clearly with both internal staff and external evaluators, and responds to evolving needs with flexibility and professionalism. Success in this role requires a commitment to precision, a collaborative spirit, and the ability to carry out responsibilities with care for both people and process. ESSENTIAL FUNCTIONS STATEMENT(S)
A. Complete, score, and enter grant-related screening forms.
B. Review data for accuracy and trends.
C. Work with multiple databases and EHR systems to ensure proper documentation.
D. Monitor data entry of participant program activities and screenings to identify missing or incomplete information and communicate with appropriate staff for follow-up.
E. Maintain open communication with grant Project Directors to ensure grant goals and objectives are being met.
F. Maintain open communication with external grant evaluators to ensure proper information is tracked, entered, and delivered.
G. Attend, participate, and record information in weekly grant team meetings, providing a report on program progress and other pertinent information.
H. Document activities performed by the program per grant, contract, or agency requirements.
I. Track when data is due for the grants and coordinate with staff administering assessments for timely upload.
J. Assist in providing transportation for residential client’s appointments as needed.
K. Ensure the proper maintenance and inventory of office equipment, files, and supplies.
L. Assist with other clerical and administrative responsibilities.
M. Maintain clear and welcoming communication with clients served.
Responsible for carrying out other duties as requested.
POSITIONS QUALIFICATIONS
Education: High School Diploma or GED Equivalent.
Experience: One year of experience entering/collecting data.
Skills: Excellent oral and written communication skills.
Certifications & Licenses: Valid driver’s license and proof of insurance
Other Requirements: All candidates must be at least 21 years of age.
PHYSICAL DEMANDS
A. Ability to Stand, Walk, sit, manually manipulate, reach outward and above shoulders, speak, climb, crawl, squat, kneel, and bend on a daily basis.
B. Capability to Lift, carry, push or pull up to 50 lbs on an occasional basis.
