Position Summary:
The Manager of Facilities oversees the maintenance, repair, and operation of all building systems, ensuring that facilities remain safe, functional, and compliant with regulatory standards. This role involves managing maintenance staff, coordinating with vendors, developing preventive maintenance plans, and addressing immediate repair needs to maintain optimal building operations. This role is responsible for managing facilities operations totaling approximately 260,000 square feet and will oversee all facilities functions while interacting with employees at all levels, including executives. SONIFI buildings should be managed to ensure the facilities are aesthetically pleasing and productive places for our employees. The role provides oversight of facilities programs including building maintenance, remodeling and repair jobs, security, food service, grounds maintenance and pest control. Responsible for the planning and management of all building systems including mechanical, electrical, fire/life safety, plumbing, and waste management.
Essential Functions:
- Plan, organize, schedule and oversee the operations and activities associated with the facility(s); assume compliance with rules and regulations related to the operations. Responsibilities include, but are not limited to buildings, grounds, cafeteria, tenants, equipment, furniture, and the maintenance program. The maintenance program includes scheduled, deferred, and preventative maintenance.
- Assure the safe conditions of the facility(s), report dangerous or hazardous conditions to management; ensure facility(s) are clean, orderly and secure.
- Must be able to perform basic troubleshooting, light maintenance, light plumbing, basic electrical, carpentry, snow removal and lawn maintenance.
- Oversee the cafeteria vendor and maintaining the onsite cafeteria and kitchen. Oversees cleaning vendor that provides general cleaning and garbage removal throughout the building.
- Manage and provide customer service to two tenants within the facility.
- Oversee the maintenance of a smaller satellite office.
- Remain on-call for emergency situations including electrical, plumbing, HVAC, security and fire alarms.
- Ensures all Federal, State, Local, and Company Laws, Codes, Standards, Procedures, and best practices are always followed.
- Invite bids, negotiate and oversee the performance of all facility related vendors. Ensure vendors are meeting commitments and maintenance standards.
- Ensure the safe operation of hand and power tools, light and heavy equipment, and other maintenance equipment such as vehicles, tractor, forklifts, etc. Ensure adherence to proper methods and safety requirements.
- Manages various maintenance projects to deliver maximum performance and value for the company, to maximize appearance and functions, and ensures projects are completed on time and within budgets.
- Oversee landscaping activities, including tree pruning, tree cutting, planting, fertilizing, weed eating and mowing; ensure proper usage of fertilizers, pesticides, herbicides and related chemicals for approximately 22 acres of grounds surrounding the facility.
- Maintains parking lot, including the removal of snow during the winter months.
- Supervise and assist in the maintenance and upkeep of equipment, including changing oil, checking fluid levels, greasing equipment, etc.
- Responsible for maintenance of security systems, including CCTV and access control systems
- Ensure the quality and responsiveness of maintenance and operations activities, including the ordering of parts and maintenance and custodial equipment and supplies as needed, maintaining appropriate inventory levels of routine parts and supplies.
- Prepare and maintain facility related records.
- Manage department budgets, including capital, maintenance, and repairs. Oversee annual forecasting as well as scoping of special projects. Make recommendations/manage implementation for service improvement opportunities across the facilities. Maintain long-term building maintenance plan.
- Partner with internal customers on production/workspace planning, setup, design, furnishing, moves, cleanups, projects, and other processes in onboarding and offboarding employees.
- Assist with various activities including moving furniture, setting up facilities for special events and other activities as needed.
- Manage and administer SONIFI’s ergonomic program, completing evaluations, and adjusting workspace as needed.
- Develop and maintain programs to ensure regular inspections of fire suppression systems, elevators, environmental plans, generators, uninterruptible power supply, and life safety systems. Maintain appropriate records of inspections.
- Provide leadership and direction of maintenance staff to include assignment of projects, establishment of goals, performance evaluation, professional development and training.
- Ensure compliance with all regulatory agencies including OSHA, SDS, SPCC, and ADA.
Job Requirements
- High school diploma or equivalent and a minimum five years of increasingly responsible experience managing at least a 50,000 sq. ft facility and administration of both capital and expense budgets required.
- Prefer bachelor’s degree in Facilities Managements or technical degree and completed apprenticeship in a corresponding technical area.
- A minimum five years general knowledge and demonstrable experience in the general maintenance and repair of HVAC, electrical, plumbing, fire safety systems, carpentry, painting, machinery and general construction.
- At least three years must have been in a direct people manager role.
Must have extensive knowledge of applicable, laws, codes, standards and industry practices relating to facilities management.
- Must be able to read, analyze and interpret technical procedures, electrical schematics, blueprints, and service manuals.
- Must have knowledge of OSHA regulations that apply to corporate offices including Lock Out, Tag Out, ergonomics, Bloodborne Pathogen, and best safety practices.
- Must be well organized, detail oriented with exceptional customer service skills. Computer skills include e-mail, spreadsheets and word processing, and CAD experience helpful.
- Must have a valid driver’s license.
- Must have the ability to work nights, weekends and holiday periods to meet business needs.
