POSITION SUMMARY

The Project Coordinator II role will support the day-to-day business needs of the Project Managers and Company through the production process of a fire apparatus. The Project Coordinator II will work with Project Managers, Engineering, and Dealer Representatives to produce critical documentation of the project. The Project Coordinator II’s support of the Post Contract Group will be critical for departmental success.

 

ESSENTIAL FUNCTIONS                                                                                                                

All employees are required to support Rosenbauer's Mission, Vision, and Values. The following are the essential duties of this position and do not include marginal functions that are incidental to the performance of fundamental job duties. The scope and duties of a given position may change or be temporarily altered based on the business needs of Rosenbauer.

  1. Communicates with Project Managers, dealers, and departments within Rosenbauer throughout the production of the fire apparatus.
  2. Creates documentation from the interactions of Project Manager with customers, and dealers. This will include but is not limited to first scrub review of contracted files, updating files and tracking costing through processes of second scrub of production files, taking notes during customer interface meetings, and assisting in documentation of customer mid-point and final inspections.
  3. Produces change orders based off mid-point and final inspections, review pricing and verbiage with Project Managers prior to releasing to change management and dealer/customer.
  4. Communicates concerns from employees on the production floor to the Project Manager.
  5. Update customers with photos and information regarding their fire apparatus through the construction processes, when requested by Project Manager.
  6. Confirms truck is following specification and customer expectations, upon request of project manager.
  7. Assist in confirming shipping processes of completed apparatus.
  8. Converts Quote Writer files into various Excel sheets for other departments’ use.
  9. Assists Project Managers by attending productions meetings and reporting information, running errands during customer visits, and assisting in scheduling events/meetings for the Project Management Team.
  10. Checks for issues and give solutions for correction according to Quote Writer.
  11. Communicates with dealers through phone calls, emails, and virtual meetings.
  12. Updates drawings when changes need to be made.
  13. Prepares files for preconstruction meetings and the production processes with the complete spec sheets.
  14. Leads training sessions with new dealerships over the pre-production process.
  15. Performs other duties and responsibilities as required by management to meet the needs of the company.

KNOWLEDGE, SKILLS, AND ABILITIES (KSA’s): The requirements listed below are representative of the knowledge, skill, and/or ability required to successfully perform the essential functions of the job.

Knowledge, Education, and/or Experience:

  • High school diploma required.
  • Bachelor’s degree in business administration preferred.
  • 1+ years of sales or customer service experience required.
  • 2+ years of administrative support experience preferred.
  • Previous experience in a Project Coordinator role for a sales group required.
  • Manufacturing experience preferred.

  • Able to find, read, and interpret relevant business periodicals, professional journals, technical procedures, or governmental regulations.
  • Able to write reports and business correspondence in a professional manner.
  • Able to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Able to follow written and verbal directions and communicate new information that could affect project trajectories.

Math:

  • Able to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

Computer:

  • Proficient in Microsoft Excel, especially related to formulas and equations related to sales.
  • Able to perform intermediate PC functions in Microsoft Office Suite and Quote Writer.

  • Able to deal with problems involving a variety of variables in non-standard situations.
  • Strong attention to detail.
  • Able to read and understand specs.
  • Able to work professionally with customers/dealerships and internal customers to accomplish common goals.
