The Office of Inspections, Weights & Measures is seeking an experienced and resourceful self-starter to serve as a program assistant. This is a quiet, yet fast paced position which allows a person to work with a wide variety of individuals and organizations. The selected candidate will be responsible for providing exceptional customer service, assisting program field staff, maintaining program databases, creating and tracking paid and unpaid office invoices, preparing monetary deposits, tracking and maintaining service agency registration and maintaining Placed In Service Reports.
The Ideal Candidate Will Have:The ability to communicate with the public, be self-motivated, organized and driven to meet deadlines. The individual will be responsible for maintaining office spreadsheets and a strong background in Microsoft Excel will be beneficial as well as being detail oriented.
Knowledge of:- business English including grammar, spelling, and punctuation;
- modern office equipment, practices, and procedures;
- advanced uses of Microsoft Office Suite software (Excel, Access, Outlook, Word, and PowerPoint);
- basic math and bookkeeping methods.
Skill to:- develop and maintain relationships with the public, other agencies, as well as field staff;
- develop an efficient time management schedule;
- address requests and problems as they arise, both effectively and professionally, while maintaining discretion.
Ability to:- maintain Inspections and Weights & Measures Web Page information for the Department of Public Safety website;
- type accurately;
- proof read and edit rough copy for grammar, spelling, syntax and style;
- calculate solutions to arithmetic problems involving additions, subtraction, multiplication, division and percentages;
- communicate in a concise and effective manner;
- compose a general business letter;
- read and comprehend written materials;
- accurately record, file and transmit information;
- accomplish assigned professional tasks;
- organize and coordinate activities;
- research and compile data;
- disseminate and pass information to appropriate individuals and/or organizations;
- make reasonable and logical decisions, while determining workload priorities;
- exercise tact, patience and discretion in communicating and dealing with the public.
