Job Summary: The South Dakota Developmental Center (SDDC) is seeking a detail-oriented and highly organized Records Management Specialist to support our mission of providing quality services to individuals with
developmental disabilities. This position plays a key role in ensuring the integrity, accessibility, and compliance of SDDC's records management system across both electronic and physical formats.
As a Records Management Specialist, you will implement and maintain document management procedures that support secure collection, storage, and retrieval of records, while ensuring compliance with all relevant federal and state regulations, including HIPAA. You will work closely with multiple departments to ensure timely access to accurate records and support audit and reporting functions related to client care and administrative compliance.
Key Responsibilities:
- Implement and maintain efficient filing and retrieval systems for electronic and physical records.
- Collect, scan, and accurately index documents into designated electronic databases.
- Oversee the handling and preservation of vital records and ensure timely disposition in accordance with established retention schedules.
- Respond to internal and external requests for records within defined timelines and legal requirements.
- Conduct annual record audits including Master Record, SSA verification, and Disability Services audits.
- Ensure compliance with federal and state records retention regulations and SDDC's internal policies.
- Serve as a resource to staff on records management procedures and assist in improving document workflows and accuracy.
The Ideal Candidate Will Have: - proven work experience as a Records Management Specialist or similar role.
Knowledge of:
- familiarity with electronic document management systems;
- Health Insurance Portability and Accountability Act (HIPPA);
- microfilm;
- File Director;
- work processes pertaining to public administration and management;
- work processes and practices pertaining to a professional subject area;
- basic statistical measures;
- research methods;
- database development and maintenance.
Skill to:

- display time management.
Ability to:
- understanding of legal requirement relating to record keeping.

This position is eligible for Veterans' Preference per ARSD 55:10:02:08.
